How Do You Set Video and Privacy Standards When Bringing a Robot into a Care Facility?

For equipment that uses video, setting the standards comes before installation. Here is, in order, what has to be decided, who decides it, and how far we adapt. The values themselves follow the facility's policy.

"What is filmed, and who sees it?" Decide the standards before the equipment. Nursing home safety thumbnail with the question and a diagram.

Before choosing equipment, decide "what is filmed, who sees it, and how people are told."

For equipment that uses video, setting the standards comes before installation. This article lists, in order, the items we work out with the facility before a demo.

A word in advance. We are not a company that gives legal advice. Values such as retention period and viewing permissions follow the facility's policy and the judgment of its responsible department. What follows is a list of "what has to be decided."

1. Start by writing down what is filmed

Put where, when and for what purpose things are filmed on a single sheet.

  • The patrol area (corridors, common spaces and so on) and the areas to exclude
  • The standard for the night time window (the facility decides)
  • What is done with the footage — our solution is for picking out and reporting situations that need checking

With this in place, the following items can be settled.

2. Check the facility's policy

Retention period, viewing permissions and storage location follow the facility's policy.

  • How long footage is kept
  • Who can view it (many facilities decide by job title)
  • Where it is stored

The applicable standards may differ by type of institution, so it is more accurate to confirm with the institution's responsible department. We set things up to match the policy the facility has decided.

3. Prepare notice to residents and guardians

Notice of filming is needed; whether to have a consent procedure is for the facility's policy and responsible department to decide. Decide in advance the notice that explains what is filmed and how it is used, how it is passed on to guardians, and who answers when questions come in.

The result reports we provide do not include photos of residents.

4. Decide who receives alerts and the response order

Decide this together with the video standards, and daily operation can run.

  • Who receives alerts (the night staff or the duty supervisor)
  • Who goes to check after receiving one
  • Where what was checked is recorded

How the routine changes is set out in How Does Staff's Night Routine Change When a Patrol Robot Is Introduced?

5. How far do we adapt?

  • We work out the video handling standard and how to inform residents and guardians together with the facility before the demo
  • We configure to the night time window and patrol area the facility has set
  • Result reports do not include photos of residents
  • Our solution is not a medical diagnosis system. It is a safety aid that reports situations for staff to check first

Frequently asked questions

How long should footage be kept?

The period follows the facility's policy and the judgment of its responsible department. We do not set it for you; we configure to the standard you have decided.

Do we have to tell residents or guardians?

Notice of filming is needed; whether to have a consent procedure is for the facility's policy and responsible department to decide. The notice text and how it is passed on are worked out with the facility before the demo.

Can all of our staff see the footage the robot takes?

The facility decides viewing permissions. Many decide by job title, and we configure to that standard.

Do residents' faces appear in the result report?

They are not included. The report summarizes the flow of patrols and alerts.

Next step

If you tell us only the areas to patrol and exclude, the night time window standard, and the department responsible for video, we will help you make the list to settle before the demo. If the facility already has a notice it uses, you can send it to us as it is.
